







Adding a Completion Notice
When you are ready to close out your contract, click on the contract in the “My Contracts” list to expand the contract overview window. Click the “Closeout” link under the “Contract Activities” section.

Enter Closeout Date
The "Completion Notice" window will open from the right of the screen. You will be prompted to enter the closeout date for the contract.

Enter Final Payroll
If there are any payroll submissions that need to be added, you will be prompted to enter the payroll before continuing with your closeout.
Click “Confirm” to be redirected to the payroll entry screen.
Enter any remaining payroll submissions. On the last payroll submission for your contract, change the Final Payroll selection to “YES”.
Once all remaining payroll has been submitted, you will be brought back to the "Completion Notice" page.

Add Final Values in Completion Notice
Enter the closeout values for your contract in the Actual column.
The other columns in the Completion Notice provide the following information:
Estimated – These are the estimated values entered on your enrollment forms when enrolling into the CIP.
Estimated + Change Orders – If any change orders were added, the sum of the estimated values plus any added change orders will display in this column.
To-Date – For WC & GL contracts, WC Only contracts, and GL Only contracts where payroll is being tracked, this column shows the sum of what was reported through payroll submissions. For GL Only contracts where payroll is not being tracked, this column shows the sum of the estimated values plus all change orders.
% of Estimated – This shows the percentage of the closeout values in comparison to the original estimated values.

Audit Contact and Documents
There is a section at the bottom of the Completion Notice where you can enter the contact information for your insurance audit contact.
Read the confirmation message at the bottom of the Completion Notice and check the confirmation check box, if applicable.
Your administrator may have requested you to upload documents along with your Completion Notice. If so, add the documents. Then submit the closeout for administrator review.

Pending Closeout Status
Your completion notice is then sent to the administrator for review and your status will change to “Pending Closeout”.

Contract Closed
After the administrator reviews and confirms your Completion Notice, you will receive an email confirmation that your contract has been closed out. It will include a final copy of your Completion Notice. The status of the contract will then show "Closed-Out" and the process is complete.
